This is a Permanent-Intermittent position with a maximum of 1,500 hours of work per calendar year.

Duties: Under the general supervision of the Staff Services Manager I of the DWR Architectural and Engineering (A&E) Contracts Section, the incumbent will provide the most difficult secretarial, clerical, and administrative tasks for the DWR A&E Contracts Section. The incumbent will be responsible for all office support duties required to support ongoing assignments and tasks within the Section by using various software and databases and by exercising a high degree of clerical and office management skills.

Specific duties include, but are not limited to:  

  • Assisting in the processing of invoices for the DOE A&E contracts
  • Creating service entry sheets within SAP
  • Tracking A&E contracting invoices and invoice payments
  • Assisting in funding strip creation and approval
  • Organizing and maintaining physical and electronic folders for A&E contracts
  • Assisting in the continual inputting of contracts data within the A&E contracts database
  • Typing final distribution letters to contracts
  • Preparing outgoing correspondence for the A&E Contracts Section in conformance with the DWR’s Correspondence Procedures
  • Serving as the A&E Contracts insurance coordinator by filing and monitoring insurance certificates for all DWR A&E contracts

Our ideal candidate should also have knowledge and experience using a personal computer and related software, such as Microsoft Suite, including Word, PowerPoint, Excel, SharePoint, Outlook and experience with DocuSign, MS Teams, Visio and Adobe Acrobat.  Experience using SAP or a similar data or information maintenance system is preferred.
