Position: Administration Assistant
Reports to: General Manager
Overview
We are seeking a detail-oriented and organized Administration Assistant to provide crucial administrative and financial support to our hotel operations. Your core responsibilities will focus on accounts payable, accounts receivable, payroll processing, and other general administrative duties to ensure the smooth and efficient functioning of the back-office.
Responsibilities
- Process invoices, verify supporting documentation, and execute timely payments (Accounts Payable).
- Assist with billing, posting guest charges, and managing incoming payments (Accounts Receivable).
- Support the preparation and processing of the semi-monthly payroll.
- Assist in reconciling financial records and bank statements.
- Maintain accurate and organized financial files and documentation.
- Provide general clerical support to the operations team, including data entry, filing, and report generation.
- Manage office supplies inventory and place orders as needed.
- Serve as a backup for other administrative roles as required.
- Ensure compliance with hotel policies and procedures in all administrative tasks.
Qualifications
- Associate’s degree in Business, Accounting, or related field.
- Proven experience (1-2 years) in an administrative, bookkeeping, or accounting role. Experience in hospitality is preferred.
- Strong understanding of basic accounting principles (AP, AR, payroll).
- High proficiency in Microsoft Office Suite (especially Excel) and experience with hotel property management systems (PMS) or accounting software is advantageous.
- Excellent attention to detail, organizational skills, and ability to handle confidential information with discretion.
- Strong communication skills and the ability to work effectively in a team-oriented environment.
