Position Description:
One (1) Permanent-Exempt, part-time (25 hours/week), full year position.
Permanent-Exempt: Exempt employees are considered "at will" and serve at the discretion of the appointing officer.
NOTE: THE POSITION ARE NOT REMOTE WORK POSITION AND REQUIRES AN OFFICE PRESENCE.
The position may include evening and weekend work as needed.
Under general supervision, this position provides front office and administrative support for the Mission Center and serves as a primary point of contact for students, faculty, staff, and visitors. The role ensures a welcoming, efficient, and student-centered environment while supporting daily operations and student services. Responsibilities include greeting and assisting individuals in person, by phone, and via email; supporting admissions, registration, and enrollment processes for both credit and noncredit students; maintaining records and processing administrative forms in compliance with college policies (FERPA); coordinating room scheduling, meetings, and events; communicating schedule updates and center announcements; collaborating with campus departments to support operations and student services; and performing general clerical duties such as data entry, filing, and document preparation.

Purpose Statement
The job of School Aide III - 3598 (Admin Support) is done for the purpose/s of , under immediate
supervision, providing support to the educational process with specific responsibilities for a variety of administrative support functions including clerical work, preparing various documents, gathering and analyzing data; resolving day-today problems; and providing information to students and staff. All functionality will vary widely for this classification, dependent upon Division, Department, and/or Site.
Essential Functions 1. Assembles materials and information from various sources relative to the typing of various documents and distributes to staff and/or the general public (e.g. maintaining calendars, scheduling meeting/events preparing agendas, preparing notes, etc.) for th2. Compiles documentation regarding various matters for the purpose of preparing and maintaining information as needed.3. Composes correspondence, in written and electronic formats (e.g. memoranda, summaries of actions, reports., etc.) for the purpose of ensuring information is current and available for other parties within established timeframes.4. Maintains office hours for providing services for the purpose of ensuring department and/or site support is readily available to staff, students and the public.5. Maintains records and documents for the purpose of ensuring availability of information and complying with college regulations and policies.6. Monitors equipment usage for the department (e.g. copiers, computers, printers, telephones, etc.) for the purpose of scheduling service and assisting faculty and staff in the use of the equipment.7. Oversees the work activities of employees and/or student workers within the office for the purpose of organizing and supervising implementation of assignments, monitoring progress, and ensuring completion within established guidelines.8. Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, if needed, and supporting the needs of the attendees.9. Performs a wide variety of general office support (e.g. maintaining telephones, processing data, developing reports, processes mail, monitoring work areas, processing payroll, copying materials, etc.) for the purpose of completing necessary tasks to support10. Prepares a wide range of financial data frequently requiring the use of independent judgement into the appropriate data management system (e.g. accounting and financial statements, contracts, payrolls, receipts, attendance, tracking expenditures, equipment11. Responds to inquiries from a variety of internal and external parties (e.g. staff, administration, students, the public, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.12. Supports assigned supervisor in the preparation of narratives and reports addressing department and program operational functions (e.g. budgets, program activities and outcomes, recommendations, etc.) for the purpose of ensuring accuracy and completeness
13. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Minimum Qualifications:
Education and Experience:
Successful completion of two (2) years of college (60 semester units/90 quarter units); PLUS
paid experience working with young children or college students.
Note:College Work Student and Student Lab Aide experience with the District will be considered/applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities.
Desirable Qualifications:
1. Experience in a community college or educational setting.
2. Proficiency in office software and data systems.
3. Experience supporting student services (e.g., student-facing information giving).
4. Strong customer service and communication skills.
5. Ability to manage multiple tasks, maintain confidentiality, and work in a fast-paced environment.
6. Ability to communicate in English and Spanish.
Benefits:
New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full-year (260 days/year) work schedules are granted, as paid days off, the days between Christmas Day and New Year's Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Year's Day shall be granted three (3) paid days off to be scheduled by mutual agreement between the employee and supervisor. Eligible school-term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
