Public Safety Office Associate

Job Overview

This position performs a variety of clerical, administrative, and office support for the Public Safety Department.

 

Duties and Responsibilities include, but are not limited, to the following:

  • Provides excellent customer service (in-person, phone, and email) by answering questions promptly and accurately.
  • Provides scheduling support by organizing appointments, meetings, conference calls and video calls.
  • Files and organizes documents and records in various electronic and physical filing systems utilizing organizational skills.
  • Prepares event folders, updates department directories, develops tracking spreadsheets, and assists with preparing and distributing incident reports.
  • Maintains and tracks records for lost and found items, stores items in a secure location, and promptly returns items to their owners.
  • Maintains supply inventory and purchases supplies as needed.
  • Assists with gathering and preparing required documents for contracts, submits requests, and tracks contract progress.
  • Tracks and maintains purchasing and contract records and assists with preparing budget projections.
  • Operates a variety of office equipment including a computer, copier, scanner, fax machine, telephone, and utilizes various computer applications.
  • Performs responsibilities in an efficient manner and according to procedures to ensure expediency and accuracy while meeting deadlines.
  • Attends Public Safety meetings and other Fairgrounds meetings and takes notes as requested.
  • Assists Public Safety and other departments with various special projects.
  • Performs other related duties as assigned or requested when needed.

 

Qualifications

  • Excellent customer service, communication, organizational, and time management skills
  • Detail-oriented, quick learner, ability to multi-task, work independently and as part of a team, and meet deadlines
  • Knowledge of office procedures and office equipment including computers and applicable software applications (e.g., Microsoft Word, Excel, Outlook, PowerPoint, Teams, and Adobe)
  • Good judgment and professionalism

 

Working Conditions

  • Works in a standard office setting with fluorescent lighting and operates standard office equipment.
  • Works a flexible schedule including weekends and holidays when necessary.
