Court Services Supervisor (Courtroom Clerk Unit)

Under the direction of a Court Services Manager within the Courtroom Services Division, a Court Services Supervisor plans, organizes, trains, and supervises staff; participates in the work of a Court division/unit or branch court; performs special projects; and performs related duties as required.
 

DISTINGUISHING CHARACTERISTICS

Court Services Supervisors are first-line supervisors responsible for the daily operations of a branch or unit as well as evaluating and counseling subordinates.   In the smaller work units, the supervisor participates in the work of the unit but is also expected to exercise good judgment and operate the work unit very independently. Court Services Supervisors may also be assigned special administrative and operational projects that have Court-wide impacts. Court Services Supervisors participate and provide input regarding the planning and implementing of new procedures.

 

EXAMPLE OF DUTIES

  • Assigns, supervises, and performs a wide variety of case processing, Court support, including oversight of courtroom clerks and their assignments, or collection activities; reassigns work as necessary to maintain workflow.
  • Participates in the selection and training of subordinate staff; approves leave time; counsels employees on their performance; schedules cross training of staff.
  • Maintains judicial statistics and prepares required and special reports; keeps personnel records and submits time cards; as assigned, creates or revises forms and procedures as required to conform with changes in laws or procedures.
  • Reviews laws or appropriate code sections covering items in question; provides information to persons having an interest or involvement in Court activities; assists in maintaining liaison with other public and private agencies concerning Court matters; answers questions relating to work of the Court.
  • Acts as coordinator for interpreter assignments and exhibits.

 

QUALIFICATIONS/REQUIREMENTS

Minimum two (2) years or more experience at the Courtroom Clerk II level or possess a combination of skills and abilities that provides the desired knowledge and experience.

 

Knowledge of:

  • Limited and general jurisdiction procedures and policies;
  • Use of automated systems as used in information storage and document preparation with the ability to explain use when needed;
  • Basic knowledge of accounting responsibilities;
  • All major Court calendars and terminology of Court-related activities and California Statues and Rules of Court applicable to areas of assignment;
  • Proper decorum as related to staff support within the courtroom;
  • Courtroom practices and procedures; documents and terminology related to civil, criminal, family law, mental health, probate, and/or adoption cases;
  • Cash handling procedures;
  • Business English including vocabulary, correct grammatical usage, punctuation, and spelling;
  • Principles of supervision and training including technical review of work assignments, work methods, and procedures.
     

Ability to:

  • Work independently with little or no supervision;
  • Deal tactfully and courteously with staff, public, and others contacted in the course of work;
  • Plan, organize, supervise, and perform a wide variety of tasks related to court proceedings;
  • Organize work to meet time constraints;
  • Identify and set priorities;
  • Determine the appropriate course of action in stressful situations;
  • Communicate effectively, both orally and in writing
  • Explain and apply specific statutes, codes, rules, laws, and proceedings;
  • Understand and implement new policies and procedures;
  • Effectively train staff on new policies and procedures;
  • Keep accurate records and prepare reports.
